Answers the phone when you can't. Captures messages, books appointments, and emails a summary before the next morning. Purpose-built for phone calls, not a chatbot with a phone number.

The Mailroom — email

Replies to routine enquiries in your tone, using your process. Flags anything that needs a person to step in. Continues the conversation across channels if the sender picks up the phone.

The Scribe — workflow

Logs calls, notes, and follow-ups into your CRM automatically. You speak, it writes. The manual data entry your team hates, done without anyone doing it.

Custom builds

A scheduling agent wired to your practice management tool. A triage bot for a specific intake form. An ops agent living inside Slack. We scope it, quote it, build it.

We wire the agent into whatever you already use — calendar, CRM, practice management, phone system. If there's no direct integration, we build one.

Phone systems

SIP, Twilio, and most UK hosted PBX providers. Call forwarding, call recording, and call routing all supported.

Calendars and scheduling

Google Calendar, Microsoft 365, and the major practice management tools used by clinics, dental practices, and law firms.

CRM and helpdesk

HubSpot, Pipedrive, Zendesk, Freshdesk, and the common sector-specific CRMs. Custom fields supported.

Email

Google Workspace, Microsoft 365, shared inboxes. The Mailroom lives inside an inbox you already own.

Security, plainly

We handle customer calls and customer email, so we take this seriously without being precious about it.

Data in transit and at rest

Traffic is encrypted end-to-end using standard TLS. Stored data is encrypted at rest in the cloud regions where it lives.

Access control

You control who on your team can see what. Role-based access and SSO where your identity provider supports it.

UK and EU hosting

Data lives in UK and EU regions by default. Happy to walk through the data-flow with your DPO before you sign anything.

GDPR

We process data on your behalf and sign a standard DPA. If your sector needs more — HIPAA, sector-specific rules — tell us during discovery and we'll be straight about what we can and can't do.
